Categorize & Organize Domains

How to sort, tag and create domain views effectively

Effectively managing your domain portfolio in Deqo means more than just navigating tabs — it means applying meaningful labels and structures to help you take smarter action. This guide shows you how to use fields like Status, Strategy, Tags, and others to organize your domains based on lifecycle, business goals, or marketing strategy.

Why categorization matters

A well-organized portfolio helps you:

  • Track which domains are for sale, dropped, or on hold

  • Prioritize high-value assets or those needing action

  • Filter quickly for renewals, marketing, or reporting

  • Segment domains by industry, keyword, or acquisition type

1. Use Status to track the domain lifecycle

The Status field reflects where the domain stands in its ownership lifecycle.

  • Own – You currently own and control the domain

  • Sold – The domain has been sold and is no longer in your possession

  • Dropped – The domain expired or was intentionally let go

2. Assign a Strategy to define business intent

The Strategy field is your internal plan for each domain:

  • Sell – You intend to sell the domain

  • Hold – You want to retain the domain long-term

  • Drop – You don’t plan to renew the domain

3. Apply Tags for flexible organization

Tags are fully customizable and ideal for organizing across different use cases:

  • Themes or niches: crypto, geo, brandable, two-word

  • Portfolio traits: premium, aged, short, recent-purchase

  • Sales priorities: top100, priority-sale, market-ready

Tips for tags: use consistent formatting (e.g., lowercase, hyphenated), combine with filters for batch work or bulk edits, and add tags for tracking domains by projects, clients, or acquisition groups.

4. Categorize by Industry, Keywords, and TLD

  • Industries – Target verticals (e.g., Marketing, Finance, AI)

  • Keywords – Main terms found in the domain name

  • TLD – Group by domain extensions for pricing, strategy, or regional focus

5. Use Metadata to track source & timing

  • Acquisition Date, Acquisition Channel, Registrar, Age / Creation Date, Expiration Date / Days Until Renewal

6. Monitor value & financial performance

  • Estimated Value, Minimum Offer – for pricing alignment

  • Sold Price, Net Proceeds – for performance tracking

  • Costs, Registration Fee, Renewal Fee – to monitor ROI

7. Use custom views to pull it all together

Once you’ve structured your domains using the above fields, you can combine filters and columns into saved custom views.

Example views: Expiring in 30 Days, High-Value Brandables, Low-Cost Drops, New Acquisitions Q2

8. Best practices for portfolio organization

  • Keep your Status and Strategy fields clean and consistent

  • Standardize your tag naming conventions

  • Use custom views for sales, renewals, or vertical focus

  • Review and clean up old views or tags periodically

  • Track ROI by combining cost and revenue fields

9. Creating a custom view for renewals

  1. Go to Portfolio → My Names → Expiring.

  2. Domains with upcoming expiry dates are listed here.

  3. Click a domain to renew or adjust auto-renew settings.

10. Setting up alerts

  • Deqo sends renewal reminder emails as expiry approaches.

  • Enable auto-renew in the Registrar settings to avoid manual renewals.

Important notes

  • Renewal prices may differ from the original registration price depending on the TLD.

  • Domains not renewed on time may enter a grace period, then a redemption period, and eventually be released for public registration.

  • Always keep a valid payment method on file to ensure auto-renew works correctly.
